Privacy Policy
Effective Date: April 11, 2026
Momentum3, LLC ("Momentum3," "we," "our," or "us") operates Ragtime Notes, an AI-powered knowledge management and document analysis platform (the "Service"). This Privacy Policy describes how we collect, use, disclose, and safeguard information about you when you use the Service.
By using the Service, you agree to the collection and use of information in accordance with this policy. If you do not agree, please discontinue use of the Service.
1. Information We Collect
a. Account Information
When you register, we collect your email address and a hashed password. You may optionally provide a display name. This information is used to create and manage your account.
b. Content You Upload or Create
The Service allows you to upload documents (PDF, Word, Excel, plain text, and other supported formats), create notes, and build action lists within projects. We store this content in your account to provide the core Service functionality, including AI-assisted search, summarization, and chat.
c. Conversation and Query Data
When you send chat messages or run document queries, those messages and the AI-generated responses are stored in your account so you can review conversation history and saved results.
d. Integration Credentials
If you choose to connect third-party integrations (Confluence, Azure DevOps, Microsoft Teams), you may provide API tokens, personal access tokens, or authorize OAuth access. These credentials are encrypted at rest using ASP.NET Core Data Protection and are never stored in plaintext. We use them solely to sync content into your projects on your behalf.
e. Usage and Log Data
We may automatically collect technical information such as your IP address, browser type, operating system, pages visited, and timestamps of actions. This information is used for security monitoring, debugging, and improving the Service.
f. Cookies and Session Data
We use cookies and similar technologies to maintain your authenticated session. No third-party advertising cookies are used. You may disable cookies in your browser settings, though doing so may prevent you from logging in to the Service.
2. How We Use Your Information
We use the information we collect to:
- Provide, operate, and maintain the Service
- Process and index your documents using AI embedding and search technologies
- Generate AI-powered summaries, answers, and chat responses using your content as context
- Authenticate you and maintain account security
- Sync content from connected third-party integrations at your direction
- Send essential service communications (e.g., password reset emails)
- Monitor and improve the reliability and performance of the Service
- Comply with applicable legal obligations
We do not sell, rent, or share your personal information or content with third parties for advertising or marketing purposes.
3. How We Share Your Information
We do not share your personal information or content except in the following limited circumstances:
- Service Providers: We use Microsoft Azure cloud infrastructure to store and process your data. These services process data on our behalf under data processing agreements.
- Legal Requirements: We may disclose information if required by law, court order, or governmental authority, or to protect the rights, property, or safety of Momentum3, our users, or the public.
- Business Transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you via email or prominent notice before your information becomes subject to a different privacy policy.
- With Your Consent: We may share information in any other circumstance with your explicit consent.
4. Data Storage and Security
Your data is stored on Microsoft Azure infrastructure in the United States. We implement the following security measures, among others:
- All data in transit is encrypted using TLS/HTTPS
- Documents and notes are stored with access controlled by service-level credentials
- Integration credentials are encrypted at rest using data protection
While we use reasonable security measures, no system is perfectly secure. You are responsible for maintaining the confidentiality of your account credentials, and for having a back-up of any data that is important.
5. Third-Party Services
The Service uses the Azure's infrastructure and cloud services to operate. These services process data on our behalf under Azure's third-party agreement.
Optional integrations (Confluence, Azure DevOps, Microsoft Teams) are only activated if you explicitly configure them. You may remove integration credentials at any time from your project settings, which stops future syncs.
6. Data Retention
We retain your data for as long as your account is active. If you delete a project, all associated documents, notes, AI Search index entries, and blobs are permanently deleted. If you delete your account, all of your projects and their associated data are permanently deleted within a reasonable timeframe.
Backup copies may persist for a short period in accordance with standard cloud infrastructure backup policies.
7. Your Rights and Choices
Depending on your location, you may have certain rights regarding your personal information, including:
- Access: You may request a summary of the personal data we hold about you.
- Correction: You may update your account email address through your account settings.
- Deletion: You may delete individual documents and projects within the Service, or request deletion of your entire account by contacting us.
- Portability: You may export saved results and notes as Markdown files from within the Service.
- Opt-Out of Communications: Password reset and security emails are essential to the Service and cannot be opted out of while your account is active.
To exercise any of the above rights, or if you have a privacy-related concern, contact us at privacy@momentum3.biz.
8. Children's Privacy
The Service is not directed to individuals under the age of 13. We do not knowingly collect personal information from children under 13. If we become aware that a child under 13 has provided us with personal information, we will delete it promptly. If you believe a child has provided us with personal information, contact us at privacy@momentum3.biz.
9. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the "Effective Date" at the top of this page and may provide additional notice (such as an email notification). Your continued use of the Service after the changes become effective constitutes your acceptance of the revised policy.
